This Privacy Policy describes how the Resources Planner application (“Resources Planner”), developed and provided by JFDI Consulting Ltd, processes and protects personal information.

Resources Planner is a SharePoint Framework (SPFx) solution designed for use within Microsoft 365 environments. This Privacy Policy applies specifically to the Resources Planner application and its associated services, not to the JFDI public website or unrelated products.

Information we collect

Resources Planner uses Microsoft 365 and SharePoint Online as its underlying data platform. The app does not collect personal data beyond what is stored in your SharePoint lists and Microsoft 365 tenant. All data remains within your organisation’s Microsoft 365 environment unless explicitly connected to our licensed SaaS service for activation or licensing validation.

Personal information may include:

  • User names, emails, or IDs associated with the RequestedBy field on demand items
  • Demand item content stored within SharePoint lists (titles, descriptions, statuses, priorities, change reasons)
  • Capacity entry content (team and role labels, available days, notes)
  • Metadata associated with demand items and capacity slots (departments, periods, dates)

How we use information

Resources Planner reads and writes data only within your organisation’s Microsoft 365 tenant. Data is processed solely to:

  • Display the demand-and-capacity board with traffic-light cell shading
  • Retrieve and update demand and capacity records stored in SharePoint lists
  • Render filters, drill-downs, dashboards, and (on Enterprise) cross-site aggregations
  • Validate licensing through the connected SaaS service

No data is sold, shared, or transferred to third parties.

Data storage and security

All data is stored within your Microsoft 365 tenant in two SharePoint lists (DemandItems and CapacitySlots). Resources Planner relies on Microsoft’s built-in security, compliance, and permission models. JFDI Consulting Ltd does not have access to your tenant’s data unless explicitly granted for support purposes.

User permissions

Resources Planner respects your SharePoint site permissions. Users can only view or modify demand items and capacity entries they are already authorised to access; the board surface reflects whatever subset of records the current user has rights to read.

Change history and audit trail

Resources Planner relies on SharePoint’s built-in version history for the per-item audit trail. The ChangeReason field on a demand item is a free-text annotation that supports, but does not replace, the version history. JFDI Consulting Ltd does not record or process audit data outside your tenant.

Your rights

Because Resources Planner stores all information in your Microsoft 365 tenant, your organisation maintains full control over data retention, deletion, and export. You can remove Resources Planner at any time without affecting any underlying data.
